Give the Load Master the packing map and the manifest so they can sign off each vehicle during loading.

The Load Master role is the one shops skip most often, and it's the one that prevents the "flowers in the wrong van" disaster. One person, and only that person, decides what goes in which vehicle and confirms it against the manifest before doors close. When that ownership is clear, the 9:45 panic mostly disappears.

The Float role is the unsung hero of big Saturdays. A packing map is a simple diagram of each vehicle showing what goes where, in what order, based on the reverse of your drop sequence. If the ceremony site is first, ceremony product loads last so it's closest to the doors. Obvious once you say it, routinely ignored when four people are loading fast at 7 a.m.

The map lives with the Load Master and gets a physical checkmark as each item goes in. The point isn't bureaucracy. The point is that when a driver arrives at the ceremony and opens the doors, the first thing they touch is the first thing that needs to come out. Every second of digging around in a packed van under time pressure is a second closer to a late ceremony.

Shops that build the packing map the night before, when everything's calm, have dramatically smoother mornings than shops that improvise the load on the fly. The map takes maybe 15 minutes to sketch. The improvised version costs you those same 15 minutes — plus your composure — at the worst possible time.

The minute-by-minute template is a timeline, not a to-do list

A checklist tells you what to do. A minute-by-minute template tells you when it has to be done by — and that distinction is everything on event day. The failures aren't usually about forgetting a task. They're about doing tasks in the wrong order or discovering too late that you're behind.

Build the timeline backwards from the hard deadline, which is guest arrival at the ceremony. Everything anchors to that. If guests arrive at 3:00 and you need the ceremony fully placed and inspected by 2:30, you work backward through placement time, drive time, load time, and final QC at the shop.

  5. [ ] Photograph the completed placement at that site
  6. [ ] Get a sign-off from the venue coordinator or planner if one is present
  7. [ ] Confirm water levels and any needed touch-ups for arrangements sitting for hours

The photograph step is the one shops undervalue. When a client later claims something was missing or wrong, a timestamped photo of the completed setup ends the dispute instantly. It also builds a reference library for how each recurring venue should look, which speeds up planning for future weddings there.

The personals line deserves emphasis. Boutonnières and corsages are small, they travel in separate boxes, and they get delivered to a different location than the main installation. They are the single most common "we forgot the—" item on wedding days. Give them their own line on every checklist and their own labeled box.
